Our Luxury Travel Planning Process

From Dreaming to Traveling 

1. Get in Touch

Have a travel dream but not sure how to make it happen? Reach out to us! You’re welcome to message us by completing the short form HERE. We’ll respond as soon as possible and begin with a relaxed, obligation-free chat to explore your travel vision, values, past experiences, and must-haves. The more details you share, the better we can tailor an itinerary that truly reflects you.

 

2. Service Overview & Itinerary Outline

Once we have a clear understanding of your preferences, we’ll provide a general overview of what we can offer in terms of services and pricing. If you're requesting a custom itinerary, we’ll share a rough outline of the journey—not specific hotels, experiences, or quotes just yet, as those require more in-depth research. This step is designed to help set realistic expectations and give you a feel for the structure of your trip before moving forward.

3. Terms of Service & Trip Planning Fee*

If you’re ready to proceed, we’ll ask you to:

  • Review and sign our Terms & Conditions, which outline what we can—and can’t—provide. These set clear expectations and define liability boundaries, protecting you and us. They are essential both ethically and legally.

  • Submit payment for the trip planning fee, which is determined by the complexity of your itinerary and the time required to research and personalize your journey.

 

* We do not charge a planning fee if you already have a specific cruise or accommodation in mind and simply want us to handle the booking and management. These requests require little to no research on our part.

4. In-Depth Trip Planning

Once the agreement is signed and the planning fee is received, we'll begin crafting your customized itinerary. This includes selecting accommodations*, experiences, transfers, and flights**. We'll often collaborate with our trusted local partners to access the most up-to-date recommendations, insights, and on-the-ground expertise.

* Keep in mind that we do not work with private vacation rentals listed on Airbnb or similar platforms, as these properties are not professionally vetted.
** There may be a ticketing fee for flight bookings, depending on complexity and how the flights are sourced (air consolidator vs. other booking tools). If a ticketing fee applies, we’ll always inform you in advance.

5. Review & Refinement

Once we’ve gathered suitable options, we’ll send you a full itinerary—typically in digital or PDF format. Then, we'll work with you to fine-tune all the details until everything feels just right.

 

6. Booking & Confirmation

With your approval, we’ll begin booking all the services for your trip—accommodations, flights, transfers, experiences, and more. We strongly recommend letting us handle all arrangements, as this allows us to manage any potential changes and ensure consistency. Please note, we are unable to oversee or modify bookings not made through our agency.

7. Ongoing Concierge Support

From the moment your trip is booked to the moment you return, we’ll be available for support. Whether plans change, needs arise, or last-minute questions pop up, you’ll never be on your own. And when we’re working with our local partners, they’ll act as your 24/7 on-the-ground support throughout your stay.

8. Post-Trip Follow-Up

Once you’re back home, we’ll check in to hear all about your adventures and gather your feedback. Your insights are invaluable—they help us grow, refine our services, and continue crafting meaningful travel experiences for our clients.​​

Where, When, Who, How Much and More

To get started on planning your trip, we’ll need a few key details from you. Having this information ready when you first reach out helps us better understand your needs and quickly determine whether we’re a good fit for your travel plans. Don’t worry if every detail is not finalized, just give us your best estimate for now!

  • Destination(s) – Countries and places you want to visit.

  • Travel dates – Preferred travel window or exact dates.

  • Party – Number of people traveling and ages of all children.

  • Budget – A general idea of how much you’d like to spend.

  • Accommodation preferences – Hotel category, room types, number of rooms you'll need.

  • Departure city – Where you’ll be flying or traveling from.

  • Other details – Special interests, mobility concerns, dietary restrictions, and anything else you would like to share.

  • Fixed elements – Specific hotels, cruises, or events you already have in mind and want us to book.

  • Are African safaris safe?
    Yes, safaris are generally very safe when booked through reputable operators and knowledgeable travel agencies (like us). We work with vetted suppliers, who select guides that are highly trained, and lodges that always prioritize guest security.
  • Are African safaris suitable for families with children?
    Yes, absolutely. Many lodges and reserves welcome children, but age restrictions often apply for safety on game drives. Some operators offer family-friendly safaris with tailored activities. Reach out to us, and we will be happy to guide you and help you plan the perfect family safari adventure.
  • Do I need to be physically fit for an African safari?
    It depends on the type of safari you would like to experience. While the classic guided safari drives require minimal physical activity, walking safaris or gorilla trekking demand higher fitness levels. When planning a safari trip, we are always mindful of your specific physical abilities and advise you accordingly.
  • What kind of accommodations can I expect on safari?
    Safari accommodations range from high-end luxury tented camps and lodges to eco-friendly bush camps, many with en-suite bathrooms, gourmet dining, and top-tier services. We are happy to guide you to the type of safari accommodations that fit your personal preferences.
  • Will I have access to Wi-Fi or cell service while on safari?
    Many lodges offer limited Wi-Fi, usually in their common areas, but connectivity can be slow or unavailable in remote regions. It’s best to expect and be prepared for a digital detox during your safari.
  • What are the Big Five animals?
    The "Big Five" are the lion, leopard, elephant, rhino, and Cape buffalo. They were originally named by hunters as the most difficult and dangerous animals to hunt on foot. Today, they’re the most sought-after wildlife sightings for safari-goers.
  • What other wildlife will I see besides the Big Five?
    In addition to the Big Five, you may see giraffes, zebras, cheetahs, hippos, crocodiles, wild dogs, hyenas, various antelope species, and hundreds of bird species. It all depends on the region and season during your visit...and your luck.
