Vessy Travel LLC Agreement
1. Introduction
Welcome to Vessy Travel LLC. We are delighted to help plan your dream trip, and we thank you for trusting us with your travel plans. By using our services, you agree to the following Terms and Conditions. They are designed to ensure clear communication and mutual understanding between our agency and our valued clients.
2. Non-Refundable Planning Fee
Vessy Travel LLC provides personalized travel planning services that leverage our expertise, industry connections, and in-depth knowledge of destinations and suppliers. To initiate this service, we charge a non-refundable planning fee, which varies according to the complexity and length of your travel plans. This fee compensates for the time, research, and specialized knowledge we invest in crafting a custom travel itinerary for you.

The planning fee is due prior to receiving any detailed travel proposals, itineraries, or quotes.

This fee is non-refundable and applies regardless of whether the trip is booked through Vessy Travel LLC or independently by the client.
3. Cancellation Fee (When No Planning Fee is Charged)
In certain cases, Vessy Travel LLC may choose to waive the non-refundable planning fee. These cases usually occur when a client comes to us with a very specific request that aligns closely with their needs and preferences, and therefore requires minimal research or customization on our part.
However, should the client cancel their trip after services have been rendered:

A cancellation fee will be charged to compensate for the time and effort spent in coordinating and booking the trip.

This cancellation fee will be communicated to the client in advance, as it is based on the complexity of the trip and the stage of planning at the time of cancellation.

The cancellation fee applies even if the trip is not fully paid or confirmed with suppliers.
4. Scope of Services
Upon payment of the planning fee (or in cases where it is waived) and signing of this agreement, Vessy Travel LLC will:

Research and develop a custom travel itinerary based on the client's preferences and budget.

Provide recommendations for accommodations, tours, activities, and transportation.

Offer advice on travel insurance, visas, and other essential travel requirements.

Continue to modify the itinerary as needed, working closely with the client to ensure their expectations are met as closely as possible.
5. Booking Confirmation
Once the client approves the itinerary and chooses to book through Vessy Travel LLC:

We will require a deposit to secure reservations with suppliers (e.g., hotels, tours, transfers), unless the service you request requires full payment at the time of booking, which is often the case with flights and certain promotional offers.

Full payment schedules will be provided, and final payments must be made before the travel dates, according to the timeline specified by the supplier and Vessy Travel LLC.

Bookings are not confirmed until deposits, or full payments if required, have been received and acknowledged by the suppliers.

Please note that airline ticket costs are highly volatile, and Vessy Travel LLC cannot hold or guarantee airfare quotes. The price quoted at the time of providing your itinerary applies only at that specific moment and is subject to change. Airfare prices fluctuate rapidly and may be higher or lower the next time a quote is provided.

To secure the airfare price quoted, we recommend booking your flights as soon as possible after receiving the quote.
6. Changes and Cancellations

Any changes or cancellations initiated by the client may result in additional fees or penalties as dictated by the suppliers (airlines, hotels, tour operators, etc.).

Vessy Travel LLC will communicate all relevant supplier terms regarding cancellations or modifications at the time of booking.

We strongly recommend purchasing travel insurance to protect against unforeseen circumstances that may affect your trip.
7. Travel Insurance
Vessy Travel LLC highly encourages all clients to purchase comprehensive travel insurance. This can cover unexpected events such as cancellations, delays, medical emergencies, loss and delay of luggage and more. While we can recommend excellent insurance providers, it is the client's responsibility to understand the plan they choose and ensure they have adequate coverage.
8. Responsibility and Liability
Vessy Travel LLC always uses its extensive knowledge, expertise, and experience to recommend and book the highest quality services available. We strive to work with reputable suppliers and ensure that every aspect of your trip meets our highest standards.
However, Vessy Travel LLC acts solely as an intermediary between clients and travel service providers (such as hotels, airlines, tour operators, etc.) and cannot be held liable for any failures, delays, or issues caused by third-party service providers. Clients should familiarize themselves with the specific terms and conditions of each provider, as Vessy Travel LLC is not responsible for service delivery, cancellations, or any changes made by suppliers after booking.
9. Travel Documentation
It is the client's responsibility to ensure all required travel documents (e.g., passports, visas, health certificates, etc.) are valid and up to date prior to travel. Vessy Travel LLC will provide guidance on documentation but cannot be held responsible for any issues related to invalid or insufficient documents.
10. Unforeseeable Circumstances
Vessy Travel LLC is not liable for failure to perform or fulfill any of its obligations under these Terms and Conditions if such failure arises from causes beyond its reasonable control, including but not limited to natural disasters, pandemics, war, terrorism, government restrictions, or any other extraordinary events.
11. Governing Law
These terms and conditions are governed by the laws of the state of Texas. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of Fort Bend County, Texas.
